Main Purpose

The task of the Receptionist to act as the face of the company, meeting and
greeting guests both in person and on the phone and representing Anna Valley in
a professional, mature and welcoming manner. The Receptionist role will take
pride in the presentation of the business, the building and the company reputation.

Duties & Responsibilities

  • Answering incoming calls and directing customers enquiries
  • Answering the door and receiving guests, welcoming and hosting visitors
    and making drinks
  • Maintaining accurate records of visitors to Head Office
  • Organising supplies and facilitating meetings based at Head Office
    (organising food where required etc)
  • Supporting and facilitating inhouse demos and client visits
  • Managing and distributing the post
  • Basic administrative support
  • Ordering, monitoring and maintaining stock levels of sundry consumable
    items (eg: stationery, milk, tea, coffee, sugar, cleaning products etc)
  • Booking meeting rooms and managing meeting spaces.
  • Recording minutes of internal management meetings
  • Organising building maintenance in conjunction with F&C Manager
  • Office equipment maintenance in conjunction with F&C Manager
  • Organising and maintaining staff training records in conjunction with F&C
    Manager
  • Managing staff birthday card distribution
  • Assist Human Resources / Facilities & Compliance Manager with back
    office administration
  • Head office maintenance (watering plants, clearing rooms after meetings,
    keeping client areas tidy)
  • Any other duties as required

Skills

  • Educated to ‘A’ level or above
  • Previous experience in a client facing role an advantage
  • Competency with Microsoft 365 Packages (Excel, Word and PowerPoint)
  • Must be fluent in the English language.

Graduate Trainee / GAP Scheme – AV / Live Events Placement

Graduate trainee scheme working  with Anna Valley Group companies; Anna Valley (www.annavalley.co.uk) and Matrix UK Solutions www.matrix-events.co.uk). This is a fantastic opportunity to join two respected, firmly established AV suppliers to the live event industry

Anna Valley are providers of advanced and integrated audio-visual technology to corporate and broadcast markets and their agencies.

Matrix is known in the industry as more of an “overall project delivery company” not just a kit supplier. The PM’s delivery is greatly reliant on their lengthy experience and adaptability.

The scheme will be tailored to the individual candidate and would involve training options in both companies. The scheme is a two-year, paid placement, there are optional additional modules for candidates that would like to increase the length of their training. Unfortunately, the scheme doesn’t offer a recognised professional qualification. An overview of the role would include but not be limited to the following:

Pre-production / Project Management

  • Primarily based in the office, in Hook or Feltham
  • Work alongside the relevant Project Manager and/or Project Coordinator
  • Take a brief from the client (alongside a senior team member) and assist in the pre-production and delivery, this will include:-
    *Working with the client
    * Understanding what the brief is and how best to achieve it
    * Recommend and suggest the most appropriate equipment/solution for the project
    * Obtain supplier quotes and negotiate the best price and terms
    * Raise PO’s
    * Work alongside the venue and confirm the event requirements
    * Raise and manage event specific requests i.e. parking permits
    * All health and safety aspects are adhered to and all relevant paperwork raised
    * Manage, collate and distribute the schedule
    * Manage the event budget and project change notices
    * Any pre-notified client requests are distributed to the crew / event team
    * Ensure the job bag/project file is collated and distributed to site

Equipment / Warehouse

This is a very “hands on” aspect of the scheme and will involve lifting and moving equipment in the warehouse.

  • Full training on the equipment inventory, to include;
  • Video; LED / projectors / switching / PPU / media servers
  • Sound; speakers / microphones / desks
  • IT; computers / networking
  • Lighting and electrics
  • Camers
  • Rigging equipment / cables / consumables and miscellaneous
  • Work with the relevant Department Heads and/or Warehouse Manager
  • Ability to understand the equipment
    * What it is
    * What it does
    * How and why it is used for specific elements on events
  • Option to dismantle and explore the mechanics of the equipment
  • Checking in / out equipment for events
  • Pre-rigging equipment in the warehouse as and when needed
  • Routine maintenance on equipment including PAT testing
  • Checking, loading and un-loading trucks
  • Health and safety and manual handling training will be provided
  • PPE will be supplied

On-site Delivery

  • Work alongside the Project Manager and client
  • Provide support to the Technicians and Project Manager as and when needed
  • Assist in the load/unloading of trucks and distribution of equipment into the relevant areas
  • Help to set up the equipment
  • Deliver calls to suppliers and / or the office in the event of additional equipment requests
  • Monitor Health and Safety paperwork

Office Assistance

  • Understand how the company works and why there are policies and procedures in place
  • Assist in focus groups as and when new ideas are discussed
  • Work alongside the office admin team as and when needed

Installation

  • Anna Valley have an Installation department and a proportion of the scheme will include time with this team

Skills Required

  • A strong interest and/or understanding of Audio-Visual Equipment
  • Work under pressure, either as part of a team or individually
  • A strong work ethic – must be prepared to work hard
  • Keenness to strive for excellence
  • Desire to want the best for the company and the clients
  • Quick learner, self-motivated and willingness to show initiative
  • Knowledge of PPT, Excel and word essential
  • Understanding of Rentalpoint would be beneficial but not essential
  • Good communication and organisation skills
  • The nature of the industry will involve working occasional anti-social hours
  • Clean full driving license would be beneficial
  • Passport is essential as the role may involve international travelling

  • Ensuring equipment is accounted for on the computer rental system
  • Lifting and moving equipment both in-house and onsite

Skills

  • Educated to ‘A’ level or above
  • Previous experience of the Audio Visual Industry an advantage

Main Purpose

To ensure the effective delivery on time and on budget of projects within our
Integration business.

Duties & Responsibilities

  • Managing projects from concept, through specification and commercials to
    delivery, installation and ongoing support for a wide range of industry
    sectors, with a primary focus on delivery of installation.
  • Working on project specifications and design.
  • Manage project scheduling and crewing with other staff members
  • Preparation of appropriate documentation before during and after installation.
  • Responsible for the timely and consistent communications to and from all
    members of the project team internal, external and with clients;
  • The PM should be the single point of contact for his or her team.
  • Supervision of all project resources with respect to schedule and
    accountability to the project (includes people, equipment, rooms, etc.).
  • Ensure adherence to the project schedule and negotiation with other teams
    if the schedule needs adjustment.
  • Ensure adherence to the project budget and advise if changes are required.
  • Supervision of project engineering, rack build, installation and programming
    stages of each project
  • Ability to develop and maintain a strong partnership with assigned Project
    Engineers.
  • Ensure that O&M packages are produced, saved and distributed as
    appropriate.
  • Assist in the production of appropriate documentation for Tender
    applications.
  • Some National and International Travel may be required in this position.
  • Assist with other company activities if required by management.
  • Liaison with Sales Team, Project Managers, Sub-Contractors and Clients.
  • Final approval of works and decisions taken Onsite

Skills

  • Previous experience in role as AV Integration Project Manager
  • Experience working with a range of AV equipment and systems including

  • Previous experience of AV, VC and UC into Corporate Spaces

  • Commercially astute
  • Full UK driving license
  • Excellent verbal and written communication skills
  • CDM (Construction Design Management) Advantageous

Senior Integration Technician

Main Purpose

The purpose of the role is to work closely with the Project Managers and fellow
Technicians to install audio visual solutions.

Duties & Responsibilities

  • Working closely with the Project Manager (PM) and wider integration team,
    to ensure that installations are carried out within the specified time-frame,
    using industry best practice and working to ISO standards and guidelines.
  • Ability to work upon instruction from PM
  • Ability to challenge methodology as appropriate
  • Responsible for ensuring quality of installations, including cable runs,
    terminations, cable management, equipment mounting, labelling etc
  • To take pride in workmanship
  • Interpreting space and design specs and ensuring they match design criteria
  • Creative problem solving on projects in conjunction with the PM
  • Providing feedback to the PM regarding specific installation and client issues on site.
  • Mentorship of Junior Team Members and reinforcement of Safe and Good
    Practice
  • Upholding the Anna Valley name on Client Sites and other Public Spaces
  • Any other duties as required

Skills

A broad experience of the following is required:

  • Rack building/pre-wire
  • Build structure to hang AV equipment consistent with industry safety
    standards
  • Install LED Screens, Video Walls and Flat Panel Displays, Projectors etc
  • Installing AV Control systems, e.g. Crestron, Polycom, VC etc
  • Install audio equipment, speakers, microphones etc
  • Solder AV connectors, terminate shielded category cable
  • Structured cabling which includes pulling, terminating and testing all cable
    and wiring associated with audio/video cables
  • Experience working on construction sites
  • Manual handling tasks will be required when necessary for moving equipment

Competencies

  • Ability to read schematics
  • Attention to detail
  • Reading and interpreting schematics and other systems design drawings
  • Conduct terminations in accordance with system diagrams
