Venue Account Manager - ExCeL

Reporting To: Director of Venues

Department Location: Venue specific – ExCeL

Main Purpose: The purpose of this role is to develop new relationships, identifying and securing new business opportunities within the venue division whilst maintaining regular contact and develop outstanding working relationships with Venue teams.

The successful candidate must be commercially aware, client facing with excellent interpersonal skills, the ability to lead pitches and proven experience of a similar role within the Audio-Visual market with the evidence to support this.

Duties and Responsibilities :

  • The Account Manager will be part of the Venue division team providing delivering measured growth.
  • Actively developing business from new clients / prospects
  • Generating and converting leads from venue and self-generated.
  • Researching and contacting new prospect businesses
  • Securing a pipeline of ongoing profitable revenue
  • Work closely with all internal departments of the business to ensure all services of the business are offered and upsold
  • Booking and attending client meetings
  • Presentation preparation and pitching
  • Networking at events and trade shows
  • Building long lasting relationships with key clients
  • Attending events on-site if required
  • Development & maintenance of CRM System.
  • Targeted HTML/Marketing Campaigns.

Venue Manager - Midlands

Reporting To: Director of Venues

Department Location: Venue specific – Midlands

Main Purpose: To be based onsite, maintain day to day contact and develop good working relationships within the venue to support the development of conceptual ideas through to the delivery of successful events.

Duties and Responsibilities: 

  • The Venue Manager will be responsible for representing Anna Valley within venue and managing the venue technical team.
  • To attend planning meetings and help provide detailed and accurate scope of works, costs and design.
  • To mediate and act as a point of contact between the company and the venue to resolve any issues.
  • Ensure the appropriate handover procedures are followed to the Project Management team and Operations team where necessary.
  • To report and provide appropriate handover of Sales opportunities to the Anna Valley Project Management team.
  • Liaising with venues sales team and supporting with the development of conceptual ideas.
  • To generate quotes on request from venues.
  • Support and manage onsite Project Managers and Venue Technicians in the successful delivery of events at a specified venue.
  • To manage resources and support from elsewhere across the business / group.
  • Manage the equipment stored onsite within the venue.
  • To ensure Health & Safety requirements are adhered to.
  • To adhere to company processes and systems.
  • To effectively communicate within all other departments as required.

Project Manager

Reporting To: Head of Projects

Department Location: Feltham, Middlesex & onsite

Main Purpose: To Project Manage shows and events to ensure the smooth delivery of project across the Broadcast and Live Events divisions of the company.

Duties and Responsibilities :

• To liaise closely with Clients and the Broadcast & Events Account Managers to ensure the excellent delivery of projects meeting the Clients needs.
• To ensure the technical design and specification meets the company’s high standards.
• To take responsibility for the booking within the Operating Software and required documentation.
• To advise, specify and manage CADs, schematics, equipment lists and liaise with the Hire Desk regarding shortages.
• To liaise closely with the Operations Team to organise kit, crew and trucking logistics.
• To plan the project to high standards of H&S, creating H&S documentation, and ensuring Health and Safety requirements are adhered to throughout the project.
• To provide an operational point of contact for Clients and Accounts team and liaise effectively in a timely manner.
• To conduct site visits where required.
• To manage project budgets and liaise with the Accounts and Operations Team to initiate invoicing.
• To complete project debrief with the client, ensuring any completion processes are followed and feedback gained.

Project Engineer

Main Purpose

• To liaise and work with the Warehouse team to support the planning and preparations of bookings.

• To lead a team of onsite technicians were required.
• To design and draw technical solutions including CADS and schematics, as well as read and follow schematics.

• To ensure the thorough check in of LED equipment and accessories.

• To maintain and manage accurate product stock levels in relation to LED Equipment.
• To service and maintain LED equipment on return and ensure it is ready for rental.
• To liaise closely with maintenance regarding the repair of LED equipment.

Main Purpose

To ensure that all equipment is prepared for rental to an excellent standard.

Duties and
Responsibilities

• To ensure that jobs are prepped to exacting standards, customised for each project, and all equipment leaves the warehouse in perfect condition.
• To assist with the check in of equipment where required.
• To assist Equipment Specialists with the timely turnaround of equipment
• To ensure that warehouse checkout procedures are adhered to
• To liaise with colleagues regarding shortages, sub hires and asset management
• To ensure all bookings are fully checked out on operating software
• To liaise with the Operations and Logistics team to ensure appropriate transport is organised
• To supervise Junior Technicians and On-site Technicians during the preparation of equipment
• To work collaboratively with outside organisations in the preparation of kit when required

Department Location: Anna Valley Venue Team

Main purpose

The purpose of the role is to work closely with the Venue Project Management, Operations and Warehouse departments to technically deliver each project professionally, meeting the client’s needs.

Duties and Responsibilities

• Liaise and work with the PM, Ops and Warehouse team to support the planning and preparations of events.

• To ensure loading and unloading of equipment is carried out according to company processes.

• Follow company H&S procedures and ensure H&S requirements are adhered to.
• To communicate and work closely with other departments across the venue to ensure the smooth delivery of projects.

• Answering the door and receiving guests, welcoming and hosting visitors and making drinks.
• Maintaining accurate records of visitors to Head Office.
• Organising supplies and facilitating meetings based at Head Office (organising food where required etc).
• Supporting and facilitating inhouse demos and client visits.
• Managing and distributing the post.
• Basic administrative support.
• Ordering, monitoring and maintaining stock levels of sundry consumable items (eg: stationery, milk, tea, coffee, sugar, cleaning products etc).
• Booking meeting rooms and managing meeting spaces.
• Organising building maintenance in conjunction with F&C Manager.
• Office equipment maintenance in conjunction with F&C Manager.
• Organising and maintaining staff training records in conjunction with F&C Manager.
• Assist Human Resources / Facilities & Compliance Manager with back office administration.
• Head office maintenance (watering plants, clearing rooms after meetings, keeping client areas tidy).
• Any other duties as required.

Skills

• Educated to ‘A’ level or above preferable
• Previous experience in a client facing role an advantage
• Competency with Microsoft 365 Packages (Excel, Word and PowerPoint)
• Must be fluent in the English language.

Junior Technician

Reporting to: Warehouse Manager, Deputy Warehouse Manager

Department Location: Feltham, Middlesex & onsite

Main Purpose

The task of Junior technician is to work with and provide technical support to the Warehouse Department

Duties and
Responsibilities

• Preparing and maintaining equipment
• Loading and Unloading vehicles
• Assisting with check in, testing and maintenance
• Assisting with the prep of bookings and collating items according to the booking hardcopy
• Driving when required
• Assisting with resolving issues including shortages and maintenance
• Helping to maintain a clean, tidy and safe working environment
• Ensuring equipment is accounted for on the computer rental system
• Lifting and moving equipment both inhouse and onsite
• Assisting with onsite work as required
• Any other duties as reasonably requested

Skills

• Educated to ‘A’ level or above
• Relevant work experience
• Previous experience of the Audio Visual Industry an advantage
• Competency with computers including Microsoft 365 Packages (Excel, Word and PowerPoint)
• Must be fluent in the English language
• Must hold a full, clean driving licence or in the process of gaining one
